Bank Statement and Check Extraction for QuickBooks

Data extraction, for a bookkeeping firm on QuickBooks Desktop, means getting each client’s bank statement lines and check payees into the books without typing them. It takes three steps: get a statement PDF the software can read, turn it into an IIF or .qbo file, and check that the extracted lines tie to the statement before you import.

This guide covers each step and links to the detailed pages. It covers bank statements, check images and check registers. It does not cover tax forms or receipts.

Table of Contents

What You Extract From Each Document

Each document gives you part of a transaction.

DocumentWhat it gives youWhat it leaves out
Bank statementDate, description, amount, debit or credit, opening and closing balanceThe payee on a check
Check imageCheck number, date, payee, amount, memoNothing about when it cleared
Check registerThe client’s own list of checks, with payee and memoBank fees, and anything the client forgot to write down

The statement is the record of what cleared, so it drives the reconciliation. The check image and the register fill in who was paid and what for, which is what you need to code the line.

Digital PDFs and Scanned Statements

A statement downloaded from online banking usually has a text layer, so a converter can read it directly. A statement the client printed and scanned, or photographed, is only a picture of text. A converter that expects a text layer returns an empty file or a short one, often without an error.

Ask the client for the PDF from online banking first. When only a scan exists, use a tool that reads images, and check the result line by line. Our guide to OCR for scanned bank statements shows how to tell the two apart and which fields break first.

Getting Payees Off Checks

A bank statement lists a check by number, amount and date. The payee is on the check image, which some banks put in the statement PDF and others keep in the online banking portal. See why bank statements leave out check payees for where each kind of bank keeps them, and the check images guide for the whole workflow.

Handwritten checks are harder to read than printed ones, and the memo line is the hardest field. The handwritten check OCR guide covers what goes wrong and what the IRS expects as check documentation.

Conto reads the payee, amount and memo from each check image, compares the amount box with the written amount line, and matches each check to its cleared line on the statement.

Getting the Data Into QuickBooks Desktop

QuickBooks Desktop cannot import a PDF. It takes two file types from a converter:

  • IIF. Imports through File → Utilities → Import → IIF Files, straight into the register. Each line can carry its account, splits and class.
  • .qbo (Web Connect). Imports through Banking → Bank Feeds → Import Web Connect File into the bank feed, where you match or add each line. It carries no account codes.

Excel works too, through a separate import step. The bank statement converter comparison covers which tools write which files and how each one charges. If the bank feed itself has stopped working, see QuickBooks Desktop bank feed alternatives.

Check That It Ties Before You Import

A converter can drop a line, read a 3 as an 8, or flip a debit to a credit, and still produce a file that imports without an error. Before you import, check three things:

  1. The number of extracted lines matches the number on the statement.
  2. The opening balance plus the extracted lines equals the closing balance printed on the statement.
  3. The statement periods run without a gap, so a missing month shows up now and not at year-end.

Conto runs these checks on every statement. It compares the extracted lines to the balances and totals printed on the statement, compares the line count, and flags a missing statement period. Every number links back to the page it came from, so a reviewer can check a line against the source in one click.

How Long It Takes by Hand

Keying a check means finding it on the statement, finding its image, reading the payee and memo, and typing the line. The time per check depends on the bank and the handwriting. Our check keying times guide shows how to time your own clients, so you can price the work or compare it with a tool.

FAQs

What is bank statement data extraction?

Reading the transactions off a bank statement PDF into a file your accounting software imports, such as IIF or .qbo for QuickBooks Desktop.

Can I import a PDF bank statement into QuickBooks Desktop?

Not directly. Convert it to an IIF or .qbo file first, then import that file.

Do I need OCR?

Only for scanned or photographed statements. A PDF downloaded from online banking already has a text layer.

How do I know the extraction is right?

Check that the line count matches, the lines tie the opening balance to the closing balance, and no statement period is missing. Then spot-check the payees against the check images.
